The privacy of your data — and it is your data, not ours! — is a big deal to us. We’ll only ever access your account to help you with a problem or squash a software bug.

Identity & Access

When you sign up for WrestlingIQ, we ask for your name, and email address. That's just so you can personalize your new account, and we can send you notifications, receipts and other essential information. We’ll never sell your personal info to third parties, and we won’t use your name or company in marketing statements without your permission, either.

When you pay for WrestlingIQ, or pay for a session with your club team via WrestlingIQ, we may ask for your credit card, billing address, or info for an ach payment. That's so we can charge you for service and send you invoices. Your credit card is passed directly to our payment processor and doesn't ever go through our servers. We store a record of the payment transaction, including the last 4 digits of the credit card number, for account history, invoicing, and billing support.

When you write WrestlingIQ with a question or to ask for help, we'll keep that correspondence, and the email address, for future reference. When you browse our marketing pages, we'll track that for statistical purposes (like conversion rates and to test new designs). We also store any information you volunteer, like surveys, for as long as it makes sense.

Your Rights With Respect to Your Information

You may have heard about the General Data Protection Regulation (“GDPR”) in Europe. If you are located in the European Economic Area or the United Kingdom, and to the extent the GDPR or UK GDPR applies to our processing of your personal information, you have the rights described below, subject to the limits and exceptions in applicable law. Where those laws require us to identify a lawful basis for processing, appoint a representative in the EU or UK, or use an approved cross-border data-transfer mechanism, we will do so. Your U.S. State Privacy Rights

Depending on your state of residence (for example, California, Colorado, Virginia, and other states that have enacted consumer privacy laws), you may have the right to: confirm whether we process your personal information and access it; correct inaccuracies; request deletion; obtain a portable copy of it; and opt out of any “sale” or “sharing” of your personal information, of targeted advertising, and of certain profiling. We do not sell your personal information for money. To the extent our advertising tools constitute a “sale” or “sharing” under California and similar laws, you may opt out as described in the “Tracking Technologies and Advertising” section below.

We will not discriminate against you for exercising your rights, and where required we honor opt-out preference signals such as the Global Privacy Control (GPC). We may need to verify your identity before we respond, and some rights are subject to exceptions under applicable law.

Processors We Use

As part of the services we provide, and only to the extent necessary, we may use certain third party processors to process some or all of your personal information.

The following is a list of processors used. This list is updated frequently, but may not be 100% accurate at all times.

Tracking Technologies and Advertising

We use a limited set of tracking technologies. Fathom Analytics provides privacy-focused web analytics and does not build cross-site advertising profiles, and we use HubSpot to understand how visitors interact with our marketing pages. We also use the Meta advertising pixel so we can measure and run advertising on Meta platforms; the Meta pixel shares certain information about your visit with Meta for advertising purposes.

Under some state laws, use of the Meta pixel may be considered “sharing” your personal information for cross-context behavioral advertising, even though we receive no money for it. You can opt out of this sharing using our “Do Not Sell or Share My Personal Information” link, and we honor the Global Privacy Control (GPC) browser signal. We do not use these advertising technologies to share the personal information of children or of any visitor we know to be under 16.

Artificial Intelligence and Automated Analysis

We use third-party artificial intelligence and large-language-model services, including Anthropic’s Claude, to help us analyze our own business data, provide customer support, and debug our software. In doing so, personal information such as account identifiers or email addresses may be processed by the provider on our behalf, and our error-monitoring providers (AppSignal, Sentry, and Papertrail) may process log data that can contain user IDs or email addresses.

We engage these providers as service providers under written agreements that require them to use the information only to provide services to us. We do not sell your personal information, and we do not use your personal information to train third-party large language models.

Aggregated and De-Identified Data

We may create aggregated and de-identified information from the data in our service - for example, to understand billing, pricing, and retention trends across clubs, including for reports or publications we make available to our customers. We take reasonable measures to ensure this information cannot be linked back to any individual, we commit not to attempt to re-identify it, and we require anyone we provide it to to do the same.

Text Messaging

Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.

Law Enforcement

WrestlingIQ may be required to hand your data over to law enforcement. In most cases we will strive to not do so, but we will comply with court orders for information.

Security & Encryption

All data is encrypted via SSL/TLS when transmitted from our servers to your browser, and our database provider encrypts all data volumes and backups at rest using AES-256. Individual records are not additionally encrypted while live in the database, since they need to be ready to send to you when you need them.

We make a best effort to comply with modern security practices in web development including password encryption.

Location of Site and Data

This Site is operated in the United States. If you are located in the European Union or elsewhere outside of the United States, please be aware that any information you provide to us will be transferred to the United States. By using our Site, participating in any of our services and/or providing us with your information, you consent to this transfer. Where required for personal data transferred from the European Economic Area or the United Kingdom, we rely on an approved transfer mechanism (such as the EU-U.S. Data Privacy Framework or Standard Contractual Clauses) in addition to, or instead of, your consent.

Children's Online Privacy Protection Act (COPPA)

The COPPA requires us to inform parents and legal guardians (collectively, "parents") about our practices for collecting, using, and disclosing personal information from children under the age of 13 ("children"). It also requires us to obtain verifiable consent from a child’s parent. This section of our policy only applies to children under the age of 13 and supplements the rest of our privacy policy. We only collect as much information about a child as is reasonably necessary for the child to participate in an activity and we do not condition his, her, or their participation on the disclosure of more personal information than is reasonably necessary.

How We Obtain Parental Consent and Retain Children’s Data. Before we allow a child under 13 to use the service, we obtain verifiable parental consent as required by COPPA. Depending on how a club uses WrestlingIQ, that consent is obtained by the child’s club or coach, or by the child’s parent at the time the parent invites the child to create a login, in each case using a method permitted by COPPA. We retain a child’s personal information only for as long as is reasonably necessary to provide the service and then delete it, and we maintain a written data-retention policy describing the categories of children’s information we collect, why we retain them, and our timeframe for deletion.

Information We Collect Directly. A child must provide us with their name, email, parent’s email, date of birth, and weight. Additional information might be requested, depending on how the team admins have configured their WrestlingIQ account. We also require the child to create a member name and password. We may request additional information from your child, but this information is optional. We specify whether information is required or optional when we request it.

How We Use Your Child’s Information. We use the personal information we collect from your child to: register him, her, or them with the service; communicate with him, her, or them about activities or features of the service that may be of interest; and allow the coaches on WrestlingIQ to communicate with him, her, or them. We collect a child’s weight only to support weight-class grouping and match pairing, and we treat it as sensitive information.

Our Practice For Disclosing Children’s Information. We do not share, sell or transfer children’s personal information other than as described in this section. We may disclose aggregated information about our users (including children’s personal information):

Accessing and Correcting Your Child’s Personal Information. At any time, you may review the child’s personal information maintained by us, require us to correct or delete the personal information, or refuse to permit us from collecting additional information or using the child’s information we already have. You can review, change, or delete your child’s personal information by: logging into your account (or your child’s account) and visiting his, her or their account profile page or sending us an email at support@wrestlingiq.com To protect your privacy and security, we may require you to take certain steps to provide additional information to verify your identity before we provide any information or make corrections.

Newsletter/Email

We may occasionally communicate with you regarding our services, news, and events. You don’t have to receive this information. We provide an opt-out function within all email communications and will cease to communicate with you for a certain purpose if you contact us and tell us not to communicate that information to you.

Changes & Questions

WrestlingIQ may update this policy — we’ll notify you about significant changes by emailing the account owner or by placing a prominent notice on our site. You can access, change or delete your personal information at any time by contacting support@wrestlingiq.com.
